Your information
This page says exactly what this website stores about you, why each thing is kept, and who can see it. It describes what the software actually does rather than what a policy might allow.
What we store, and when
We only hold information you send us. There is no tracking on this site, no advertising, and nothing is shared with anyone else.
When you send us a message
You fill in the contact form.
- The name you gave us, so a reply is addressed to a person.
- Your email address, used to reply to you and to send you a copy of what you wrote.
- The subject line, if you wrote one.
- The message itself, exactly as you typed it. We do not edit it.
- The network address the message came from. Kept only so we can investigate abuse of the form, and never shown to the staff who read your message.
- Anything a member of staff writes while handling your message. Not shown to you.
When you propose working with us
You fill in the partnership form.
- The name of the person we should reply to.
- Their email address, used to acknowledge the proposal and to tell them what was decided.
- A phone number, if one was given.
- The proposal itself, exactly as it was written. We do not edit it.
- The network address the proposal came from. Kept only so we can investigate abuse of the form.
- Anything a member of staff writes while considering the proposal. Not shown to you.
- What we asked for, if we came back with a question.
When you offer to volunteer
You fill in the volunteer form.
- The name you gave us, so a coordinator can reply to a person.
- Your email address, used to acknowledge the application and to tell you what was decided.
- A phone number, so a coordinator can ring you about your application.
- The country you told us you are in, which is also where your phone number's dialling code comes from.
- The dialling code for that country, kept with your number so it can be dialled from anywhere.
- A link to your LinkedIn or another profile, if you gave one.
- Your date of birth. We ask because we can only take volunteers who are 18 or over, and this is what the system checks.
- When you told us you are free.
- Your cover letter: what you told us about yourself and why you would like to volunteer.
- The network address the application came from. Kept only so we can investigate abuse of the form.
- Anything a member of staff writes while considering your application. Not shown to you.
When we email you
We reply to a form you sent, or tell you what was decided.
- The address we sent to.
- The subject line of the message.
Who can see it
Staff who are signed in to our admin system. Each member of staff has a role, and a role only opens the parts of the system it needs — somebody who handles donations cannot read volunteer records, and the network address a message came from is never shown to the person reading the message.
Every change a member of staff makes is recorded with their name and the time, so the organisation can answer questions about who did what.
When we publish something about a person
We publish a quotation from somebody only when we have recorded who gave permission, when, and how. If that permission is withdrawn the quotation comes off the site immediately — not at the next update, and not once somebody remembers.
The same is true of anyone whose name or photograph appears on our team pages. An organisation we work with is named only once it has told us it is happy to be named.
Having your information removed
Write to us and we will remove what you sent. Tell us the address you used and roughly when, so we can find it.
